Connecting Devices: Softphones, IP Phones, and Mobile Apps

Modern cloud telephony gives users ultimate flexibility: they can dial from desktop clients, dedicated desk phones, or smartphones. This guide walks through connecting each device type to your Cloud PBX.


1. Configuring a Softphone

Softphones are software-based phone apps running on Windows, macOS, or Linux.

  1. Install a SIP client (for example, Zoiper, Bria, or MicroSIP).
  2. Obtain your SIP credentials from the Cloud PBX portal:
  • SIP username and password
  • SIP server address (hostname or IP)
  • Transport protocol (UDP, TCP, or TLS)
  1. In the softphone’s account settings:
  • Enter the server address and port (usually 5060 for SIP, 5061 for TLS).
  • Choose the matching transport protocol.
  • Input your username and password.
  1. (Optional) Configure STUN or ICE to traverse NAT/firewalls.
  2. Save and register—your softphone should show “Online”.

Tip: Enable SRTP in the client for encrypted audio.


2. Setting Up a Hardware IP Phone

Dedicated IP phones (Yealink, Polycom, Cisco) connect via Ethernet and often PoE.

  1. Connect the phone to your LAN and power it (PoE or DC adapter).
  2. Find its IP address in the phone’s menu or via your DHCP server.
  3. Open the web interface in a browser (http://<phone-ip>).
  4. Log in with the default admin credentials.
  5. Under “Account” or “SIP Settings”:
  • Enter your SIP server address, port, username, and password.
  • Select transport protocol.
  1. (Optional) Point the phone to an auto-provisioning URL for bulk setup:
  • Provisioning > Server Type: HTTP/HTTPS
  • Server URL: your PBX’s provisioning endpoint
  1. Save and reboot—the phone will register automatically.

Pro Tip: Lock down the web interface and change default admin passwords.


3. Activating a Mobile App

Mobile softphones let remote and field teams stay connected. Apps like Zoiper Mobile, Bria Mobile, or the PBX’s native app are popular.

  1. Download the app from App Store or Google Play.
  2. In the app’s account setup:
  • Input SIP credentials exactly as for a desktop softphone.
  • Enable push notifications (for reliable inbound call alerts on iOS).
  1. Use QR-code provisioning if supported: scan a code from the PBX dashboard to auto-import settings.
  2. Test inbound and outbound calls—ensure your mobile data or Wi-Fi has sufficient bandwidth.

Tip: On iOS, only apps using VoIP push notifications can ring consistently in the background.


4. Security and Best Practices

  • Enforce SIP over TLS and SRTP to encrypt both signaling and media.
  • Use strong, unique passwords and limit registration attempts.
  • Keep firmware and softphone apps up to date to patch vulnerabilities.
  • Segment voice traffic on a separate VLAN and apply QoS policies.
  • Regularly audit active registrations and device IPs.
